When you register for a Four12 Event, you confirm that you, your family (including your children or children under your care/guardianship), and anyone else you registered for (“Event Participants”) have READ, UNDERSTAND, AND AGREE TO THE TERMS AND CONDITIONS BELOW for registering and attending the Four12 Event.

  1. FOUR12

    1. Four12 is an international organisation that provides external support to local churches which organise and host Four12-branded Events. Four12 assists by providing or sharing resources, guidance and central administration or coordination for these Events, such as registration and communications, where applicable.

    2. Each Four12 partnering church is a separate, independent local church and is not owned, managed, controlled or regulated by Four12. Events are hosted and organised locally by the relevant church (or other local organising team) and are run under that local church’s leadership and responsibility as event hosts and organisers (“Event Hosts”).

    3. No relationship of partnership (in the legal sense), agency, franchise or employment is created between Four12 and any local church or its leaders by virtue of any voluntary association with Four12 or their use of the Four12 name.

  2. REGISTRATION, CANCELLATION, REFUND, AND TICKET TRANSFER

    1. Registration for any Four12 Event requires completion of the online registration form through the relevant Booking Platform (such as www.quicket.co.za, https://www.eventbrite.com/, https://events.humanitix.com/ or such other booking platform as may apply to the Event), and payment in full. Registration will only be completed successfully once you have entered your personal details, made full payment via the relevant payment system, and received a confirmation email from the booking platform with your ticket (s) attached.

    2. By completing and submitting the online registration form, you warrant that any information provided during registration is accurate and complete, and that you have the authority to bind yourself and your family (including your child(ren) / any child(ren) under your care) and/or any attendees you registered for or on their behalf, to the terms and conditions set out herein.

    3. Cancellations, refunds, and ticket transfers may be managed through the Booking Platform and are subject to the Event rules and the Booking Platform's terms of service. Any cost involved in cancellation, refund or transfer will be for your own account. In particular, no refund is due in circumstances where non-attendance is as a consequence of factors outside Four12 or the Event Host’s control, including (but not limited to) legal impediments, force majeure, the Event Participant falling ill or for whatsoever reason no longer being able to attend the Event.

  3. RIGHT OF ADMISSION, AND EVENT RULES

    1. The church hosting the Event (“Event Host”), and/or the Operator of the venue where the Event is taking place (if a different venue to that of the church hosting the Event), may reserve the right of admission to the/their venue where the Event is taking place (“Event Venue”), and any person entering the Event Venue or utilising the facilities thereon shall do so entirely at their OWN RISK, including (but not limited to) the use of any on-site parking, braais/BBQ’s or open fire facilities, playgrounds, and open water such as dams, rivers and/or swimming pools, lifts and/or escalators.

    2. NEITHER THE EVENT ORGANISERS, NOR THE EVENT HOST, NOR THE PROPERTY OWNERS OR OPERATOR OF THE VENUE, NOR ANY OF THEIR DIRECTORS, SUB-CONTRACTORS, EMPLOYEES, VOLUNTEERS OR AGENTS, SHALL BE LIABLE FOR ANY DEATH OR INJURY OF WHATSOEVER NATURE AND HOWSOEVER SUSTAINED BY ANY PERSON ATTENDING THE EVENT, OR LOSS OR DAMAGE TO THEIR PROPERTY, WHETHER LIABILITY IS VICARIOUS OR OTHERWISE, AND ANY AND ALL SUCH CLAIMS ARE WAIVED BY EVENT PARTICIPANTS ATTENDING THE EVENT, ENTERING THE PROPERTY OR USING THE FACILITIES, TO THE EXTENT PERMITTED BY LAW, BUT SPECIFICALLY EXCLUDING GROSS NEGLIGENCE AND WILFUL HARM.

    3. All persons entering the Event Venue agree and understand that they do so subject to these terms and conditions, which are accepted by them upon registering for the Event/or entering the Event Venue or using any of the facilities, and they further agree to abide by the Event rules relating to access and use of the Event Venue and its facilities stipulated by the Event Organisers and/or Operator of the Event Venue, from time to time.

    4. All Event Participants must inform us of any significant matters affecting themselves, their families (including children or those under their care), registered attendees, organizers, or the Event. Notification should be made before the Event or promptly after any such occurrence, using the contact details in Clause 2.4.

    5. In particular and without derogating from the generality of Clause 3.4 above, by agreeing to these terms and conditions, you confirm that you and your family (including your child(ren) / the child(ren) under your care), and/or attendees you registered for or on their behalf:

      1. do not have any serious illness, noteworthy medical condition, or health problems; and

      2. are not allergic to any food, medicine or any others things;

    6. except as specifically indicated in the section allocated for this purpose, in the online registration form (to the extent applicable), or in the absence of such information being requested or provided in the registration form, then you are obligated to inform us in writing at events@four12global.com prior to the Event.

    7. To the extent required by law, we may require Event Participants to comply with additional requirements at or before the Event, which will be at your own risk and for your own cost.

  4. CONSENT IN RELATION TO MINOR CHILDREN (i.e. under 18 years of age):

    1. By registering for, or attending, this Event, you as Parent / Guardian herewith give permission for your child(ren) / the child(ren) under your care (collectively referred to as “Your Child(ren)”), to attend any Children’s Programme organised as part of the Event, and irrevocably declare that:

      1. Your Child(ren) is / are hereby given permission to participate in all programmes and activities (on-site, or off-site) organised by the Event Organisers, including excursions or outings, camps, and official transport provided by Event Organisers (collectively referred to as “Activities”) to and from Activities. Parents / Guardians will be informed of any Activities that are taking place off-site, and/or require children to be transported.

      2. Although you understand that every care is taken to ensure Your Children’s safety, you are aware that their attendance at the Event and participation in Activities are at their own risk, with which risk you hereby voluntarily associate.

      3. Your Child(ren) will obey all legal and fair instructions from the facilitators, leaders and/or any other Event staff during the Event, and you also agree should Your Child(ren) persistently refuse to co-operate, misbehave or disobey any of the rules or reasonable instructions of the Event Organisers or the leaders at such Activities, he/she/they may be excluded from attending further Activities upon notice to you as Parent/Guardian.

      4. You as Parent/Guardian are solely responsible for promptly delivering and collecting Your Child(ren) from the Event and the kids’ facilities or Activities.

      5. When Your Child(ren) is/are not at the venue where the Children’s Programme is being hosted or the Activities are taking place, they must remain in your care and must never be left unattended. Any arrangement for their care remains your sole responsibility.

      6. You accept that if you cannot be reached, permission is hereby given for Your Child(ren) to receive the necessary care or medical treatment, should this be deemed necessary by the Event Organisers or Event Host, and you agree to pay for the associated costs in doing so.

    2. YOU HEREBY INDEMNIFY THE EVENT ORGANISERS AND THEIR AFFILIATES, TO THE EXTENT PERMITTED BY LAW, AGAINST ANY CLAIM OR LIABILITY IN RESPECT OF ANY LOSS, DAMAGE, DEATH, OR INJURY THAT MIGHT ARISE FROM ANY ACTIVITIES YOUR CHILD(REN) PARTICIPATE IN, OR IN RESPECT OF ANY URGENT CARE OR TREATMENT PROVIDED OR FACILITATED BY THE EVENT ORGANISERS OR EVENT HOST ON YOUR CHILD’S BEHALF, BUT EXCLUDING GROSS NEGLIGENCE OR WILFUL HARM.

  5. CONSENT TO MEDIA CONTENT

    1. By registering and attending the Event and/or entering the Event Venue, all Event Participants in the Event, personally and on behalf of their child(ren) / the child(ren) under their care, and/or other attendees they registered for or on their behalf (collectively referred to as “All Event Participants”), agree and give their consent that:

      1. Photos, audio recordings and/or videos (the “Media Content”) may be taken or broadcast of them.

      2. The Media Content may be combined with other images, text, graphics, film, audio, audio-visual works and may be cropped, altered or modified.

      3. This Media Content (including the image, likeness, appearance and voice) may be used and publicised by the Four12 or their Affiliates as explained in our Privacy Policy, indefinitely and without revoking this consent, and without compensation.

      4. All rights, title, and interest in such Media Content are owned by Four12 or the respective Affiliates.

    2. Should any Media Content be objectionable to any Event Participant, please contact the Event Organiser at privacy@four12global.com as soon as possible, so that the particular broadcast, use or publication can be removed or the effects thereof be minimised as far as possible.

    3. All Event Participants acknowledge that they are fully aware of the contents of this Media Consent and are under no disability, duress, or undue influence in agreeing to this.

    4. Should you require that you, someone in your family (including your child(ren) / the child(ren) under your care), or any attendees you registered for or on their behalf, be excluded from this release, please notify us in writing at privacy@four12global.com promptly and not later than 10 (ten) working days from date of registration for the Event (and by implication, agreement to these terms and conditions).

    5. All Event Participants acknowledge that any content created or posted by attendees or third parties on social media or other external platforms (including photos, videos, comments or reviews) is outside Four12’s control. Four12 does not endorse and is not responsible or liable for such attendee-generated content, or for any loss, harm or damage arising from it.

  6. ACCOMMODATION FOR THE EVENT

    1. Although certain Events may include the option of being accommodated (or “hosted”) for the duration of the Event, hosting is not a right or a given, and successful registration for the Event itself does not necessarily imply that you and your family and/or the attendees you registered for or on their behalf, will also be hosted for the duration of the Event.

    2. Hosting for an Event is entirely in the discretion of the Event Organisers in consultation with the Event Host, taking into account the resource and capacity of the Event Host and its members to voluntarily provide accommodation and hosting at the time of the Event.

    3. In order to be considered for hosting (and only where hosting is offered as part of the Event), Event Participants need to specifically apply for hosting as part of their online registration for the Event, or as otherwise indicated in the details for Event registration.

    4. Hosting applications are in the full and final discretion of the Event Organisers, who may contact Event Participants’ church leaders for a reference check, and are not required to give any explanation for refusing a hosting request.

    5. Upon an application for hosting being approved, the Event Organisers will place the Event Participant(s) with a host / host family, whereafter it will be the sole responsibility of the parties involved (i.e. the Event Participant(s) and the host), and not the Event Organisers or Event Host or their employees, agents or volunteers, to make further hosting arrangements.

    6. Other than placing the Event Participant(s) with an approved host / host family, the Event Organisers assume no responsibility for the accommodation or hosting of Event Participants, including what the host / host family is or isn’t able to provide (e.g. meals, transport to and from the Event Venue). This is for the parties involved to agree and arrange between themselves.

    7. In particular, you agree that all accommodation and hosting is entirely at the Event Participants’ OWN RISK, and you indemnify the Event Organisers and Event Host, their directors, sub-contractors, employees, volunteers or agents, against any and all claims for loss, damage, death, or injury of whatsoever nature and howsoever arising from your accommodation or hosting, to the extent permitted by law, but specifically excluding gross negligence and wilful harm.

  7. TRAVEL ARRANGEMENTS

    1. It is the sole responsibility of Event Participants to make and manage their own travel arrangements, including (but not limited to) securing valid passports, obtaining any required visas, booking their flights (or other mode of travel), and complying with all immigration requirements for the destination country.

    2. All travel arrangements shall be for the Event Participants’ own account.

    3. Event Participants are also responsible for ensuring that they have adequate travel and medical insurance coverage for the duration of their trip and participation in the Event.

    4. THE EVENT ORGANISERS AND THEIR AFFILIATES ACCEPT NO RESPONSIBILITY OR LIABILITY FOR ANY TRAVEL-RELATED MATTERS, INCLUDING BUT NOT LIMITED TO PASSPORT VALIDITY, VISA APPLICATIONS AND VALIDITY, TRAVEL CANCELLATIONS, CHANGES OR DISRUPTIONS, MEDICAL EXPENSES, PERSONAL INJURY, DEATH, LOSS, OR DAMAGES INCURRED BEFORE, DURING, OR AFTER TRAVEL TO THE EVENT.

  8. PROTECTION OF PERSONAL INFORMATION

    1. By registering for the Event, you also give your consent that the Event Organisers and their Affiliates may store and use your and your family’s personal information (including that of your child(ren) / the child(ren) in your care) and any attendees registered by you or on their behalf, in line with the Four12 Privacy Policy and in accordance with the relevant data protection and privacy laws of the country in question.

    2. Please read and familiarise yourself with the aforesaid Privacy Policy published at https://four12global.com/privacy, as it will apply to our use of the personal information provided to us.

  9. DISPUTES AND JURISDICTION

    1. These Terms and Conditions, your registration for the Event, and your attendance at or participation in the Event are governed by the laws of the country where the Event is hosted (the “Host Country”).

    2. If any dispute, claim or controversy arises out of or in connection with the Event or these Terms and Conditions (a “Dispute”), the parties will first attempt in good faith to resolve the Dispute by prompt written notice and informal discussions. If the Dispute is not resolved within a reasonable period, the parties may, where appropriate and lawful, refer the Dispute to mediation or another alternative dispute resolution process in the Host Country before instituting formal proceedings.

    3. Subject to Clause 9.2, the courts of the Host Country will have jurisdiction to settle any Dispute, and you submit to the exclusive jurisdiction of those courts in relation to any proceedings arising from or connected with the Event or these Terms and Conditions, subject to following the aforesaid process.

  10. SEVERABILITY

    1. If any provision of these Terms and Conditions is found by a court or other competent authority to be unlawful, invalid or unenforceable, that provision will be enforced to the maximum extent permitted and, to the extent required, will be severed or modified to the minimum extent necessary to make it lawful, valid and enforceable. The remaining provisions will remain in full force and effect.
